Guide 05 — Take Orders & Record Payment (Manager/POS)

Overview

This guide is for managers and staff who take orders in person using the POS (Point of Sale) system and record the payment method.


Who can do this?

Owner, Manager, or Staff role.


Part A — Create a New Order (POS)

  1. Go to Sales → New Order
  2. From the left navigation, click Sales
  3. Click "New Order" button (top right), or click the POS icon

  4. Select the Location

  5. Choose which branch this order is for
  6. The product menu will load based on that location's available items

  7. Add items to the order

  8. Browse products by category or use the search bar
  9. Click a product to add it to the order
  10. Click the + / buttons to adjust quantity
  11. To remove an item, reduce quantity to zero or click the trash icon

  12. Set order type

  13. Dine-in — select a table number
  14. Pickup — customer will collect at counter

  15. Add customer details (optional)

  16. Enter customer name and phone number
  17. Useful for pickup orders or repeat customers

  18. Add notes (optional)

  19. Special instructions (e.g. "No chilli", "Extra sauce on the side")

Part B — Record Payment

After reviewing the order summary:

  1. Review the total
  2. Subtotal, GST (10%), and Total are shown automatically

  3. Select payment method

Method Notes
Cash Enter amount tendered; system calculates change
Card (EFTPOS) Record card payment; process on your physical terminal separately
Stripe Terminal If Stripe card reader is connected, initiate payment directly
Square Terminal If Square reader is connected, initiate payment directly
Split Payment Combine multiple methods (e.g. part cash, part card)
  1. Click "Confirm Payment"
  2. The order status changes to Paid
  3. A receipt can be printed or emailed to the customer

Part C — Order Status Flow

Status Meaning
Open Order placed, payment not yet recorded
Paid Payment confirmed
Cancelled Order cancelled (no charge)

To cancel an order: - Go to Sales → Sales Orders - Find the order and click "Cancel"


Part D — View All Orders

  1. Go to Sales → Sales Orders
  2. Filter by:
  3. Date range
  4. Location
  5. Status (Open / Paid / Cancelled)
  6. Click any order to view full details or reprint the receipt

Tips for Faster Service

  • Keep the POS on a tablet mounted at the counter for quick access
  • Use categories to group your menu — reduces time browsing
  • For regular customers, save their name so you can retrieve past orders quickly
  • At end of day, filter by today's date and export the order list for reconciliation
